Privacy policy

SOOBA’s mission is to simplify vehicle ownership and care by connecting automotive service providers and users. This policy explains which personal data may be used, why it is used, who it may be shared with and how to exercise your rights.

Our mission and the scope of this policy

When using SOOBA, you may provide information about yourself or your vehicle. This policy covers our website, applications and related services according to the features available and those you use.

SOOBA , a société à responsabilité limitée (SARL), located at 77 BOULVARD MOHAMED SMIHA 20000, is the controller for processing whose purposes and means it determines. You can contact it at contact@soobaone.com. Where a professional or organisation determines its own processing, its responsibilities are explained in the relevant service information.

It concerns individuals, professional centres, mobile technicians, fleet managers and suppliers, as well as visitors, people contacting us, job applicants and representatives or staff of participating organisations. These people are referred to as users in this policy.

SOOBA aims to offer services across several countries. This policy provides a common framework, supplemented where needed by service-specific or local information. Processing remains subject to the laws and regulations applicable to your situation. For questions about this policy or the controller of your data, contact contact@soobaone.com.

The data we use and its sources

Information you provide may include your name, contact details, organisation, professional profile, account details, messages and documents you choose to send. A job application may include your experience and CV. Required fields are identified in the relevant forms.

Depending on the service, vehicle and service data may include registration, VIN, model, mileage, documents, appointments, quotes, orders, interventions, photographs and maintenance history. Vehicle data is personal data when it identifies an owner, driver or other user.

Where payment features are offered, relevant data may include amounts, references, statuses and supporting documents. Information provided during payment explains the data processed by the providers involved.

Using the services may generate device, browser, IP address, usage and technical incident information. An intervention address may be necessary for a service. Device location is relevant only where a feature requires it, under the conditions and permissions explained when it is activated.

Information may come directly from you, an authorised centre, technician, fleet manager or supplier involved in your service, or a provider supplying information needed to perform it. Sharing must remain relevant to the request and each participant’s permissions.

Your enquiries and device permissions

Website contact forms prepare a message for you to review and send using your email application. Selecting an attachment prepares an email file (.eml) locally on your device. This does not upload the message or attachment to a SOOBA server or confirm delivery. Once sent, email services process the message for receipt and follow-up.

Depending on available application features, location, camera, photo or notification permissions may be requested for a specific action. You can manage permissions in device settings. Refusal or withdrawal may limit the relevant feature without authorising other uses of your data.

Only provide information useful to your request. Do not send your password or sensitive documents that are unnecessary for the requested service.

Why do we use your data?

Data supports contact, demonstration, partnership and support requests and recruitment. In applications, it may support account and access management, service scheduling, order and intervention tracking, the Unique Vehicle Passport, invoicing and payment tracking.

It may also be necessary for service messages, troubleshooting, improving service operation, preventing unauthorised access or fraud, handling complaints and meeting applicable legal obligations. These uses must remain proportionate to their purpose.

Depending on the circumstances and applicable law, processing relies on delivering a service or contract, steps you request before a contract, a legal obligation, your consent or another lawful basis, such as legitimate interests where applicable and compatible with your rights.

Any marketing communications are subject to applicable information and consent requirements, with an option to object or unsubscribe. An enquiry or reservation alone does not subscribe you to marketing. Reading this policy does not constitute consent to all processing.

Who may receive your data?

Information may be accessible to authorised SOOBA staff and participants in your service, such as a centre, technician, fleet manager or supplier. Access depends on their role, task and permissions; participation in SOOBA does not grant access to all user or vehicle information.

Providers may support hosting, email, maintenance, security, assistance, notifications or payments. Information entrusted to them must be limited to their task and subject to applicable confidentiality and protection obligations.

Information may be disclosed to authorities, professional advisers or courts where justified by a legal obligation, a dispute or the defence of rights. During a reorganisation or business transfer, applicable protections and information duties continue to apply. Other sharing requiring consent is subject to an appropriate request.

Professionals and external services may be responsible for their own processing, including customer relationships and invoicing. Their notices then supplement this policy. Continuity of a vehicle’s technical history does not, by itself, justify sharing a previous user’s personal information with a new owner.

Processing locations and international transfers

Depending on the service and providers involved, data may be processed in your country or another country. Selecting a country or language on the website does not by itself determine where data is stored.

International transfers must comply with the laws applicable to the people and processing concerned. Where required, safeguards include contractual commitments, appropriate protections and applicable formalities or authorisations. You can contact us for information about recipients and safeguards relevant to your use of a service.

How long do we keep your data?

Personal data is retained for as long as needed for the purposes described in this policy. Retention varies with the nature of the information, the service, the relationship with the user and legal or regulatory obligations in the countries concerned.

Account and service information is retained to manage the service relationship and necessary follow-up. Contact and support enquiries are retained while being handled and for necessary follow-up. Applications are used for the relevant recruitment; retention for future opportunities requires appropriate information and, where necessary, your agreement.

Invoices, supporting documents and records needed for legal obligations may be retained for the periods required by applicable rules. For complaints, suspected fraud or disputes, only necessary information may be retained for a period justified by investigation, claims periods or the defence of rights.

Technical information, location data and backups follow criteria appropriate to service delivery, security and recovery needs. Retaining a vehicle’s technical history is considered separately from retaining the personal information of successive users.

Once the justified period ends, data is intended to be deleted or anonymised. Where further retention is necessary, access and use must be limited to that purpose. Closing an account therefore does not necessarily mean immediate deletion of every record. You may request the criteria applicable to a specific service or data category.

Your rights and how to exercise them

Subject to applicable laws and their conditions, you may request access, correction or deletion, object to certain uses, request restriction or benefit from portability. Where processing relies on consent, you may withdraw it without affecting lawful processing already carried out.

To exercise your rights or request account closure, write to contact@soobaone.com with the service concerned and your request. Proportionate identity verification may be needed. Requests are considered within applicable legal time limits and procedures; reasons are explained where an exception limits what can be provided.

Where an organisation or professional using SOOBA is responsible for processing, requests should go to that controller, with our assistance according to our role. You may also contact the data protection authority competent for your situation.

Cookies, browsing preferences and security

The website uses browser session storage to remember your selected country. This preference does not rely on device geolocation and can be cleared with website data. Cookies and similar technologies, where used, must be explained according to their purpose and lifetime.

Analytics, personalisation or advertising features requiring consent are subject to a prior choice that can be changed. Website or application information identifies the relevant technologies. Mechanisms needed for the service are distinguished from optional uses.

Data protection relies on technical and organisational measures proportionate to risks, including permissions, confidentiality, communication protection and incident handling. No system can guarantee absolute security. Data breach response and notifications to people and authorities follow applicable legal requirements.

Policy updates and contact

This policy may change with services, processing practices and applicable requirements. Significant changes are communicated appropriately, for example on the website, in the application or by email. Continued use does not replace consent where a new purpose requires it.

For questions about privacy or use of your data, contact contact@soobaone.com. Legal notices and service-specific information supplement this policy.
